Purpose:

To outline the process through which Personnel Policies are established and revised.

Policy: The Personnel Policies Committee (PPC), appointed by the Associate Vice President for Human Resources Management (UHRM), has been established to be advisory to University administration as to appropriate personnel policies and practices for staff employees. When the need for a new or revised personnel policy is indicated, it will be referred to the PPC in draft form for study, discussion, and recommendations. The Vice President for Administration and Chief Financial Officer gives final approval to policy statements.

The University’s Personnel Policies will be maintained online. Changes to the Personnel Policies will be communicated through UHRM’s newsletter, In the Know, and in special announcements sent via listhost (HR-administrator).

Guidelines:

  1. Membership of the PPC consists of the Associate Vice President for Human Resources and such others as may be appointed by the Associate Vice President for Human Resources.
  2. Preliminary drafts of policies may be initiated by the staff of University Human Resources Management (UHRM) or by a subcommittee designated by the PPC.
  3. The PPC reviews the preliminary draft and consults with the management groups in their departments.
  4. The staff of UHRM may also present tentative drafts of policies to various management groups for their discussion and recommendation.
  5. The results of all such meetings will be discussed with the full Personnel Policies Committee before a final draft is prepared.
  6. The PPC makes recommendations to the Vice President for Administration and Chief Financial Officer on the draft of policies submitted to them for review.
  7. Personnel Policies become effective upon the signature of the Vice President for Administration and Chief Financial Officer of the University of Chicago.
  8. UHRM prepares the approved policy, communicates it, and places it on the Personnel Policy Index page of the University’s Web site.
  9. Policies will be reviewed on a regular basis.
Employees represented by a bargaining unit may be governed by the appropriate bargaining unit agreement.
