Document Receipts
There are four situations where a document receipt is acceptable:
- The receipt for replacement of a document from List A, B, or C because the original was lost, stolen or damaged. (The actual document must be produced within 90 days of hire.)
- The receipt is a temporary I-551 stamp (green card) in the employee's passport or on a I-94 Form. (The actual I-551 Form must be submitted within 180 days of employment.)
- The receipt takes the form of a refugee admission stamp on a I-94 Form. (An employment authorization card, Form I-766, or a Social Security card must be submitted within 90 days of hire.)
- The receipt for an application to renew an H, L, E, O, or P visa with the same employer. (The INS approval notice or new visa and Form I-94 must be submitted within 240 days after expiration of the present period of authorized stay.)

UHRM Follow-Up
In cases where the employee needs to provide a Social Security number or a valid document after his or her hire date, the employee database (EDB) will record a “tickler” value. The original documentation must be collected within the
appropriate number of days. UHRM produces a report on these "tickler"
values monthly and
contacts the units for the original documentation for staff members.
