Documents with Expiration Dates
For U.S. citizens, documentation provided to establish identity and
employment eligibility can be either current or expired. Documents for
Foreign Nationals must be kept current, and must be reverified before
they expire.
When documentation for an alien employee is about to expire, the
department must send another I-9 form with the new work authorization
information provided in Section 3. Send the completed form to UHRM (for
nonacademic staff) or the Provost's office (for faculty and academic
nonprofessionals). If an employee fails to produce documentation prior
to expiration of documents, his/her employment at the University will be
terminated.
Tips:
- A U.S. Passport, either current or expired, is an acceptable List
A document.
- A U.S. or Canadian drivers license, either current or expired, is
an acceptable List B document.
UHRM Follow-Up
The employee database (EDB) tracks work authorization expiration
dates. UHRM produces a expiration report monthly and contacts the units
when a staff member's employment authorization nears the expiration
date.
